“You”-centered Approach to Business Writing
Writing your business messages with a “You’ attitude is essential for success. Your audience should always feel
that your message is for them, demonstrating you care about their needs, perspectives, & even their feelings.
We may think of business writing as emotionless, but word choices, tone, & approach can significantly impact
how your audience feels and hence, reacts to your message. For example, if you reprimand them by saying,
“You failed to complete the correct form,” they’re going to feel insulted & angry. This would escalate the situation
rather than resolving it
Not all business situations are the same so applying the “You’ attitude requires careful consideration each time.
For Discussion:
Part A: In Ch 5 on p.154, under “Writing Demonstrating the ‘You’ Attitude,” items 5.19, 5.20,5.24, & 5.25
1) Identify what specifically is wrong with each message &
2) Rewrite each message to achieve a “You’-centered approach.

Writing: Demonstrating the “You” Attitude [LO-1] Rewrite
these sentences to reflect your audience’s viewpoint:
5.17. Your email order cannot be processed; we request that
you use the order form on our website instead.
5.18. We insist that you always bring your credit card to
the store.
5.19. We want to get rid of all our 15-inch LCD screens to
make room in our warehouse for the new 19-, 23-, and
35-inch monitors. Thus, we are offering a 25 percent
discount on all sales of 15-inch models this week.
5.20. I am applying for the position of bookkeeper in your of-
fice. I feel my grades prove that I am bright and capable,
and I think I can do a good job for you.
5.21. As requested, we are sending the refund for $25.
5.22. If you cared about doing a good job, you would’ve made
the extra effort required to learn how to use the machin-
ery properly.
5.23. Your strategy presentation this morning absolutely blew
me away; there’s no way we can fail with all the brilliant
ideas you’ve pulled together-I’m so glad you’re running
the company now!
5.24. Regarding your email message from September 28 re-
garding the slow payment of your invoice, it’s important
for you to realize that we’ve just undergone a massive
upgrade of our accounts payable system and payments
have been delayed for everybody, not just you.
5.25. I know I’m late with the asset valuation report, but I
haven’t been feeling well and I just haven’t had the en-
ergy needed to work through the numbers yet.
