You are a manager at a call center. The company frowns upon phone calls and texting during work hours. You have looked the other way a few times, but it has started to get out of hand. You need to write a memo reminding everyone that private phone and text message use on company time is viewed as a violation of the company’s code of ethics.

Rewrite your earlier Code of Conduct (Assignment 1) utilizing the professor’s feedback on organization, format, tone, and editorial issues. In your document, you should:

Ensure the memo is clear and brief.
Choose language to match the purpose and tone for the situation and audience.
Format the memo accurately and according to the details in the textbook.
Create an effective opening that establishes goodwill without obscuring the message.

Subject: Private phone and text messages during company time.
It has come to our attention that some employees are still using private phones and texting with
friends, and family members during office hours. This issue has persisted for over three months
now, and its effects on the organization are visible. It is the duty of each employee to adhere to
the ethical code of conduct, and avoid engaging in actions that could adversely affect other
employees, and the organization as a whole. While the issue has been more prevalent among new
members, even old employees have also been noted to engage in this behavior. We want to
inform all employees that such behavior is unethical and violate the company’s code of conduct.
We would like to remind everyone that text messages and private phone calls are prohibited
during office hours. Under the company’s act, employees are required to refrain from using
private phones, texting or communicating with external parties on non-work-related issues. Such
usage not only contravenes the company’s ethical guidelines but also negatively affect the
company. For the last two months, for instance, the organization has lost $4000 due to lowered
productivity and missed deadlines which can be attributed to the use of mobile phones by
employees during work. Also, making phone calls, and texting during office hours is a threat to
the organization and other employees.
The success of this organization will depend on how well employees adhere to the code of
conduct, and how well they adapt to the ever-changing business environment. To ensure unity of
direction within the company, each person must strive to follow all set rules and to refrain from

engaging in actions that could hinder us from achieving set goals and objectives. Such actions
include texting during office hours and making calls not related to work during work hours. It is
crucial that all employees are provided with a copy of the organization code of conduct, to
ensure they read and understand it clearly. I hope that all of you will take this notice seriously,
and avoid taking actions that will aggravate the matter further.
